Weekend Christmas party dates are (for obvious reasons) very popular. If you have specific date in mind, it’s best to get your diary out as soon as January comes round and get a provisional date booked in with your chosen venue – yes as soon as that! Leave it closer to the time and you may need to be more flexible on the dates, as peak dates are often booked months in advance.

Location really is key! Picking a party venue that’s not easily accessible is likely to affect attendance, encouraging the bah-humbugs of your company to decline the party invitation or increase last-minute drop outs. It’s important to consider geographical location, ease of access and parking.

The venue itself can have a huge impact on attendance, choosing somewhere that is grand and opulent will give your party the wow factor and really impress guests – particularly if it’s a venue they don’t normally frequent. For small or medium sized parties, you may want to go for something elabrorate. For large parties of 400 guests or more, bear in mind you are catering for the many, with varied dietary requirements and taste buds, so keeping the menu simple, but delicious will ensure there is a menu choice for everyone.

Top tip – Working with experienced suppliers can ease the pressure with event planning. Go for suppliers that know your venue well, and don’t forget to check their credentials – reviews, testimonials and recommendations.
Itemise your Invitations
The devil really is in the detail. It’s best to provide guests with as much information as possible from the outset to avoid confusion. Ensure your party invitations include each of the key points below.
- Date of Christmas party
- Arrival/ departure time
- Dress code
- Address (including postcode)
- An advisory note that any dietary requirements should be provided at the point of RSVP
Ensuring your guests can get to and from the venue is important – ask the venue for their recommended taxi firm or organise a coach. If you want to be super organised, why not distribute a note to all guests with transport options and a map to the venue.
Maximising your Budget
If you have a tight budget, consider going for a weekday, instead of a weekend. Mid-week Christmas parties are increasing in popularity, and the savings in venue hire can be used for extra table wine, reception drinks, decorations or anything else to make your event extra special.
